The terms you book under: confirmation, payment, cancellation and deferment charges, what we provide and what we need from you.

Policy statement

These are the terms on which Acadame Ltd provides training, qualifications, assessment and consultancy. They apply to every booking unless we have agreed something different with you in writing.

A booking is confirmed once it is submitted. We do not hold provisional bookings, and the cancellation and deferment charges below apply from the point of confirmation.

1Who you are contracting with

Acadame Ltd, trading as Acadame Training Solutions and Acadame, company number 12921273, registered at Trent House, 234 Victoria Road, Fenton, Stoke-on-Trent ST4 2LW. UKPRN 10087409.

In these terms, “we” and “us” means Acadame Ltd. “You” means the person or organisation making the booking. “Candidate” means the person attending the training.

2Booking and confirmation

A booking is confirmed once it is submitted, and it is subject to the cancellation terms below from that moment. We do not accept provisional bookings.

Fees quoted are correct at the time of publication and we reserve the right to alter them at any time. The price you pay is the one confirmed on your booking.

3Payment terms

Standard payment terms are 30 days from invoice unless we have agreed otherwise in writing. Payment must be received before the course begins unless we have agreed otherwise in writing.

Materials and login details are not issued until payment is received, and we reserve the right to refuse admittance to a course or qualification until it is.

Where a payment plan has been agreed, the first instalment is paid before the training starts and the remainder is collected by Direct Debit. Any alternative payment plan must be agreed in writing with us and authorised by a director of your organisation.

4Cancellation by you

If you cancel a confirmed booking, the following charges apply. They apply equally to in-house courses and to consultancy.

  • More than 28 days' notice: no fee
  • 15 to 28 days' notice: 50 per cent of the fee
  • 1 to 14 days' notice: 75 per cent of the fee
  • No notice given: the full fee

5Deferment by you

If you move a confirmed booking to a later date rather than cancelling it:

  • More than 28 days' notice: no fee
  • Less than 28 days' notice: 25 per cent of the fee

6Cancellation or change by us

We reserve the right to cancel or alter the dates or provision of a service, the venue, and the individual or organisation delivering it. That includes moving a classroom course to our online blended delivery where we cannot reasonably provide a classroom.

If we cancel a course, bookings are normally deferred to the next available course at the same venue, unless you specifically ask for something else.

7Classroom courses

We aim for ideal delegate to trainer ratios but this is not always possible. The final decision on numbers per course rests with us and, where it applies, with the awarding organisation.

We reserve the right to deliver a course using one trainer or several. The same trainer will be used wherever possible, but that is not always practical.

Course materials are kept under continuous review through our quality procedures. We cannot be held responsible for any omission or error in course materials.

We cannot be held responsible for unforeseen circumstances affecting the running or delivery of a course, and we will work with you to resolve any such matter as well as we can.

We keep to the venues listed on the website wherever possible but reserve the right to change a venue at any time. Learners are told of any change. Car parking charges may differ from those listed on the site and we are not liable for them.

8Training at your premises

Where a course is delivered at your premises, you are responsible for providing:

  • A suitable training room, large enough for everyone attending
  • A projector, a flip chart and pens
  • Toilet and washing facilities
  • Somewhere for the group to take their breaks, and any refreshments you choose to lay on

9eLearning and audio books

Invoices are issued immediately on receipt of a booking form. Login details and access are supplied only once the invoice is paid.

No refund or cancellation is possible once login and access details have been provided.

10NEBOSH: exams, fees and resits

Unless stated otherwise, the cost of a NEBOSH eLearning package does not include NEBOSH exam fees. Candidates book and pay for their exams separately.

Unless stated otherwise, classroom and virtual courses include everything needed to complete the full qualification. They do not include the cost of resit assessments.

Where exam fees are stated as included, that covers your first attempt only. Retaking or resitting a failed exam is charged separately.

All NEBOSH exams in the UK must be fully booked and paid for at least four weeks before the exam date. Late bookings may be accepted subject to additional fees; if a booking is submitted after NEBOSH's cut-off date, late registration fees are charged to facilitate the registration.

Once a candidate is registered for an exam the fees are strictly non-refundable, whatever the circumstances.

11NEBOSH resit fees

Most candidates pass first time. If you do need to retake part of a qualification, you pay only for the unit you are retaking:

  • NG1 resit: £165 + VAT
  • NG2 resit: £125 + VAT
  • FSC1 resit: £165 + VAT
  • FSC2 resit: £125 + VAT
  • CN1 resit: £290 + VAT

12NVQs and vocational training: what we do

We are responsible for making sure a candidate has the experience and qualifications needed to complete the vocational training they want to undertake.

For applicable programmes we provide access to the ePortfolio platform, where the programme sits and where the candidate receives instruction, training and feedback from their assessor. We train the candidate on how to use it: how to reach their portfolio, submit work for marking, communicate with their assessor and index their evidence.

We communicate results to the awarding body and administer and award the certificate to candidates who have completed the training and paid all associated costs.

13NVQs and vocational training: what the employer does

Once you confirm in writing that you wish to proceed, you enter a contract with us for the provision of assessment and vocational training.

You provide all the information and cooperation we need to deliver it, which may include reasonable access to the candidate's site or place of work.

You pay our invoices in line with the agreed terms, and where payment is by instalments, provide the information we need to collect by Direct Debit.

Charges subject to a booking form, proposal or email are due before the training starts or before the candidate is inducted onto the ePortfolio system, whichever comes first. Payment is in full unless we agree otherwise in writing. Where you hold agreed credit terms, our standard terms apply.

14NVQs: cancellation and disengagement

You have 14 days from the date of receipt of the invoice and booking confirmation to request cancellation in writing. Where a written request is received and payment has been made, you are refunded less any reasonable costs and expenses.

If you cancel after the training has started but with less than half the programme complete, we will at our absolute discretion refund 50 per cent of the agreed charges. If more than half is complete, no refund is issued.

We reserve the right to cancel vocational training where a candidate becomes disengaged. If no progress has been made for 12 weeks we write to the candidate asking for an update, and give a further 12 weeks to re-engage or explain the pause. If we hear nothing in that period, the training is stopped, no refund is given, and a new booking is needed to start again.

15Consultancy services

Any risk assessment carried out is a general risk assessment as required by the Management of Health and Safety at Work Regulations 1999. It does not include the more specific risk assessments required by other regulations unless we have said so.

Telephone and email support covers work that does not involve travelling to your site. Additional work on site is charged at an agreed amount.

For telephone and email support contracts, the contract starts on the date you sign to accept the proposal. Annual support contracts renew automatically on their anniversary. If you do not want to renew, tell us in writing at least 30 days before the contract ends.

16Candidates, conduct and adjustments

Candidates must meet any entry requirement the awarding body sets, bring photographic identification where it is required, and follow our site rules and the rules of the venue.

We may remove a candidate from a course where their behaviour puts anyone at risk or prevents the group from learning. No refund is due in that case.

If a candidate needs a reasonable adjustment, tell us as early as you can and at least 14 days before the assessment. Our Reasonable Adjustments & Special Considerations Policy sets out what we can do and how to ask.

17Your data

We handle personal data in line with our Privacy & Cookie Policy and our Data Protection & GDPR Policy. Where you book a candidate onto a course, you confirm that you have a lawful basis for giving us their details and that they know we will hold them.

18Intellectual property

Course materials, assessments and the content of our websites remain our property or that of the relevant awarding body. They are provided for the candidate's own use on the course and may not be copied, resold or redistributed.

19Complaints and appeals

If something goes wrong, our Complaints Policy sets out how to raise it and what we will do. If you want to challenge an assessment decision, that is an appeal and it follows our Assessment & Appeals Policy.

20Governing law

These terms are governed by and construed in accordance with the laws of England and are subject to the exclusive jurisdiction of the English courts.
